Know Before You Go

The AOS 2018 Meeting is approaching quickly. Are you ready? Here is what you need to know before you go!

Time Zone:  As you plan your travel and schedule remember to take into account that Tucson doesn’t follow Daylight Savings Time and so is currently the same as the Pacific Time Zone. You can set your devices to Phoenix time if you wish.

Weather: The weather is going to be beautiful! It is springtime in the desert, however, so  remember to bring a hat and sunscreen, as well as a warm layer for cool mornings and evenings! We also suggest if you are going hiking that you bring long pants and closed-toed shoes; there are a lot of prickly plants out here! If you are planning to go on any field trips or do any sightseeing, always bring plenty of water with you. To help out with this, you will receive a complimentary water bottle at registration.

Program & Schedule: We have an exciting schedule of events planned for the conference and you can now download a PDF of the Schedule At A Glance. In addition to the streamlined printed program you will receive at registration, we have an online up-to-date scheduling tool “SCHED” to make a personalized agenda, search by author or topic, read daily announcements, and more.

Presentation Upload: All presenters should have received an email from the AOS 2018 Presentation Upload Site with instructions on how to upload your presentation. If you registered as a presenting author and did not receive this email, please contact Katie Kulp (katie@nationalconference.com) immediately. Co-authors should use the presenting author’s log-in if they plan on uploading or working on a presentation. All presentations can be submitted via the site through April 9. After this date, submissions will only be accepted on-site in the Speaker Ready Room.

Ground Transportation: Transportation options from the Tucson International Airport to the Hilton El Conquistador Resort are car rentals, cab service, or transportation companies, including Uber and Lyft. For more information, check out the Travel Information page on the conference website.

The hotel shuttle van will be available, first come first serve, to conference attendees for shuttling to specific local sites (e.g., nearby state park, local shopping mall, etc).

The AOS supplier for car rental services is offering a 5% discount from Enterprise (use corporate number XZ50N55) or a 10% discount from National (use contract number XZ50N55 under the “more information” option).

If you are interested in ride-sharing to or from the hotel, please email aos18az@gmail.com with “rideshare inquiry” in the subject line. We will send you an invitation to a Facebook group where you can dialogue with other members interested in sharing.

On-site Parking: Self Parking at the resort is complimentary. Guest valet parking is available for $11.00 per day.

On-site Registration and Name Badge Pick-up: Upon entering the hotel, there will be signs directing you to the meeting Registration and Information Desk located in the Turquoise Foyer of the conference center. Hours will be Mon 4–8 PM;  Tues 12-9 PM; Wed 7 AM-6 PM; Thur-Sat 8 AM–5 PM.

On-site Internet Access: Access wireless internet throughout the conference center and hotel using the “Hilton_Meetings” network. Open a browser to enter code AOS18.

Silent Auction: Help support student events at upcoming meetings by donating items to the student-run silent auction and placing your bid between Wednesday at noon to Friday morning at 10:20 AM. Winners will receive an email on Friday around noon with instructions on pickup and payments. Prepare to pay either via the OSNA Member Portal (with credit card of your choice – assistance provided if needed) OR by personal check. We will not be able to accept cash or credit card payments outside of the OSNA Member Portal. Donors can either bring items to registration or ship ahead of time. Dining Options: Breakfast items will be available at the Grab & Go outlet in the hotel lobby and at the Sundance Café.  For lunch, Grab and Go stations will be set up throughout the hotel grounds. A special express lunch menu is available for sit down lunches at the Sundance Café, though seating may be limited. Lunch options off the hotel grounds include the Oro Valley Retail Center (1.5 miles north of the hotel, it is not safe for walking but will be accessible via the hotel shuttle), the Oro Valley Marketplace (3.5 miles north of the hotel), and the Entrada de Oro and Plaza Escondida Shopping Centers (3.5 miles south of the hotel). For special events (e.g. Fellows Dinner, opening reception, poster sessions, closing banquet, etc) throughout the meeting where food is provided, please note: vegetarian, and gluten free options will be provided and labeled as such.

Closing Reception & Banquet: Come and join us for dinner on Saturday from 5:30-8 PM to celebrate the end of what is sure to be a great week of ornithological research! If you would still like to purchase a ticket ($65) you can email Chris Mulvaney (cmulvaney@americanornithology.org) before the start of the meeting, or tickets will be on sale at the Registration Desk until the end of the day on Tuesday, April 10.

Bird Jam: After the closing banquet on Saturday night come join us at the Bird Jam for a fun and relaxing evening full of bird songs, music and dancing! We are very excited to announce a special performance by wildlife DJ Ben Mirin followed by music performed by your fellow conference attendees! If you would still like to purchase a ticket ($15), you can do so before the conference by emailing Chris Mulvaney (cmulvaney@americanornithology.org) or tickets will be on sale at the Registration Desk until the end of the day on Thursday, April 12. Field Trips:  If you have registered for a Field Trip, you should have received an email from Carol Vleck this week. If you did not receive an email, contact Carol (cvleck@iastate.edu).  Most Field Trips are full, but a few openings remain, as listed on the website: https://amornithmeeting2018.org/field-trips-2/. To sign up for an open Field Trip, send an email to Chris Mulvaney (cmulvaney@americanornithology.org) or visit the Registration Desk.

All-out Ostrich Scramble 5K:  If you have registered for the 5K run on Thursday morning, you should have received an email from Rolf Koford (rolfruns@gmail.com) on Tuesday, 3/27, with information and guidelines. Contact Rolf if you did not receive the email.

Local Birding: For up-to-date information on local sightings, check out the eBird page for Pima County. Volunteers will lead Early Morning Bird Walks from 6 – 7:30 AM each morning, meeting at the Registration Desk. More information about signing up for these will also be at the Registration Desk.

Childcare: Families are welcome at many events during the meeting. Attendees with young families can check out our Family Resources page. We have provided links to suggested local activities for families along with names of local childcare providers, some of which will arrange to come to the hotel. If you are interested in connecting with others to share in childcare, please email aos18az@gmail.com with “Childcare sharing inquiry” in the subject line. We will send you an invitation to a Facebook group where you can dialogue with other parents interested in sharing childcare.

Code of Conduct: All conference attendees are expected to abide by the AOS2018 Meeting Code of Professional Conduct.

Social media: We encourage you to promote ornithological research during the conference! Please utilize #AOS18AZ when posting. Please review the AOS Social Media Policy for more information on our social media channels, especially if you would like to opt out of social media sharing of your work.
